Executive Secretary
We are looking for an Executive Secretary to provide confidential secretarial, administrative, and scheduling duties to keep the office workflow and staff moving forward. This position is based in Washington, DC, and is required to work in the headquarters.
DUTIES, RESPONSIBILITITES AND MAJOR TASKS
· Serves as a liaison between staff, union officials, members, public officials, organizational offices, etc.
· Coordinates and schedules appointments, keeping the calendar current.
· Coordinates travel arrangements.
· Approves purchase orders, travel authorizations, monthly activity reports, and other documents as required.
· Types all correspondence, memos, reports, etc., and monitors correspondence to ensure local union members receive a timely response relating to their situation.
· Composes routine correspondence and responds to routine telephone inquiries.
· Keeps monthly itinerary and expense account.
· Approves memos and correspondence on behalf of staff, as needs arise.
· Takes technical dictation and transcribes to draft for review before creation of final document.
· Assumes duties necessary to processing member complaints and requests for employment.
· Monitors and ensures deadlines for various department projects are met.
· Keeps all department files current.
· Arranges transportation for office visitors.
EDUCATION & EXPERIENCE
· High school diploma or equivalent required. Bachelor’s degree from an accredited college or university preferred.
· Ability to type 60 WPM required.
· Minimum of five years’ experience as an executive level secretary or scheduler required.
· Demonstrated excellent organization skills required.
· Ability to work proactively while maintaining professionalism to take direction and execute assigned tasks efficiently.
· Ability to demonstrate sound discretion and maintain the confidentiality of the office required.
· Demonstrated ability to use Microsoft Office suite software (Word, Excel, Outlook) required.
· Familiarity with OnBase preferred.
· Ability to travel as necessary, required.
The Executive Secretary starting salary range is $75,000.00 to $100,000.00, plus FICA reimbursement, 100% employer-paid health & welfare plan, pension, optional 401(k), FSA, and vacation & sick leave.
