Job Purpose
The Program Coordinator will play an important role in the successful administration and execution of Stanford CARE’s high school and middle school summer programs. This position encompasses a variety of responsibilities, including overseeing the planning, logistical, and operational aspects of the programs. The coordinator will serve as the primary point of contact for all stakeholders, facilitating effective communication and addressing any issues that arise during the program. Additionally, the coordinator will ensure compliance with protocols and regulations while actively collecting feedback to drive continuous improvement.
The ideal candidate will need strong communication skills to engage with a diverse group of students, faculty, staff, and visitors. They must also possess technological proficiency, demonstrate the ability to collaborate effectively with hybrid teams, and exhibit sound judgment in discerning the appropriate circumstances for escalating issues and concerns. The Program Coordinator will report to CARE’s Education Program Manager and is expected to be on-site in a full-time capacity at Stanford University Campus from June 2026 - July 2026, and as needed throughout the year. Weekly hourly expectations will be determined and agreed upon with the Education Program Manager with no more than 980 hours within the calendar year.
Schedule: 19 hours per week, with 40-hour work weeks from June 2026 - July 2026 to accommodate Summer programming
Core Duties
The Program Coordinator will perform the following tasks:
- Administrative Responsibilities
- Collect and Manage Paperwork
- Gather and organize all necessary documentation for program registration with Stanford University
- Collect required documentation from participants, including registration forms, medical waivers, and consent forms.
- Maintain accurate records of participant information and ensure compliance with policies and guidelines.
- Scheduling and Logistics
- Develop and maintain a detailed schedule for programs, ensuring that all logistical aspects are coordinated including room reservations, catering, and parking.
- Lead program communication efforts including communications with participants, families, speakers, and staff.

- Be present onsite during the program to oversee daily activities, ensuring smooth operations and addressing any issues that arise.
- Be present online for any virtual sections of the program.
- Serve as the primary point of contact for students, parents, and staff during the program.
- Collect feedback from participants and families to assess the program and make recommendations for improvements.
- Safety and Compliance
- Ensure that all safety protocols are followed and that the program complies with relevant regulations and guidelines.
- Oversee or supervise day-to-day work of student and/or temporary support staff as it pertains to the programs/classes, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality, timeliness, and providing performance review input for the educational program manager to review.

Education & Experience
The ideal candidate will possess the following qualifications:
- Bachelor’s degree in Education, Administration, or a related field.
- Experience in program coordination, particularly in high school and/or middle school settings.
Knowledge, Skills, and Abilities
- Strong organizational and communication skills
- Ability to work both collaboratively and independently with in person, hybrid and remote stakeholders
- Possess technological proficiency with tools such as GSuite, Smartsheets, and the Microsoft Office systems, as well as the ability to learn and adapt to ever changing technological needs
- Exhibit sound judgment in discerning the appropriate circumstances for escalating issues and concerns.
Compensation
The expected pay range for this position is $37.00-42.00 per hour.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
