Administrative Assistant - Community Engagement

Your Role       

  • Provide administrative support to the Youth Opportunities Office
  • Schedule, coordinate and prepare for meetings. Take meeting minutes, including at least one evening meeting per month.
  • Screen service requests, phone calls, emails, etc.; initiate and prepare verbal and written responses to correspondence and inquiries
  • Conduct research and prepare reports
  • Accurately keep records. Establish and maintain an organized, cross referenced filing system
  • Accurately enter data
  • Assist in budgetary processes by processing invoices timely, completing monthly Pro Cards purchases, completing Budget Adjustment Requests; generating reports from Oracle and disseminating them to appropriate team members to assist with monthly and quarterly budget reconciliation reporting
  • Make division travel and training arrangements and coordinate staff events and training
  • Utilize various microcomputer applications for data collection, report generation (i.e.,spreadsheets, databases, word processing and City and Department specific software) and presentations
  • Provide customer service and act as an interface with other agencies, the public and various civic groups

Perform other job duties requiring skills, knowledge and physical requirements as demanded by those duties described or less. Individual assignments will be determined by the supervisor based on the current workloads and department needs.

MINIMUMS:
High school or GED plus three (3) years of experience in fields providing the required knowledge, skills, and abilities and associated with such positions as clerk typist or office assistant. Passing score on a typing test may be required.
SPECIAL REQUIREMENTS:
All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

This is an Alpha I position which requires reporting to work during periods of emergency or inclementweather, regardless of City's operational status.
The individual selected for this position will be housed at a primary site but may be scheduledbetween other park sites/facilities. Schedules will be adjusted seasonally and will vary weekly basedon events, facility coverage, and weather.
Some assignments may require overtime or split shifts to cover operational needs.
All employees may be expected to work hours in excess of their normally scheduled hours or maybe relocated to another location or job assignment in response to short- term department needs and/or City-wide emergencies including weekends, evenings and holidays.
